Frequently Asked Questions

Short answers to the questions staff ask most.

Signing in

I forgot my password. What do I do?

Ask the administrator to open Users & roles, edit your account and type a new password. Change it afterwards in My profile.

It says "Too many failed attempts".

After several wrong passwords, sign-in is paused for 15 minutes to protect your account. Wait, then try again.

Why can't I see a menu my colleague has?

Menus depend on your role. The administrator can change it in Users & roles.

Can I use it on my phone or tablet?

Yes. The same address works on phones, tablets (upright or sideways) and computers. On small screens the menu opens with the ☰ button.

Numbers and the queue

Why doesn't the kiosk ask which service the patient needs?

On purpose: every patient is called first by the front desk or nurse, who decides where they go and sends them on. Patients only say whether they are a returning or a new patient.

Why does the kiosk ask "returning or new"?

So the front desk knows at once who needs registering: every number shows New patient or Returning at the counter and on the printed ticket. Reports count new and returning patients. Not needed? Switch off Ask Returning patient or New patient in Settings → Kiosk: the kiosk then shows one big Get queue number button.

Does a patient get a new number at each room?

No. The same number follows the patient all day. When the front desk sends them to Consultation, they wait there with the same number, and so on.

A patient lost their ticket.

They can print it again at the kiosk: Lost your ticket? Tap here to print it again, type the number, Print my ticket. Or the staff press Print beside the number at the Queue counter.

A patient pressed the button twice.

The kiosk ignores a second tap for a moment, so one tap gives one number. If two numbers were printed anyway, the front desk can Cancel the extra one in Waiting here.

Can a room call a new number itself, without the front desk?

Yes, when Settings → Tickets → Who can call new numbers is on (it is on at first). Every counter then shows New numbers waiting at the front desk with a Call here button: the patient goes straight to that room, with the same number. Switch it off to let only the front desk call new numbers.

Who is called first?

The priority lane (seniors, PWD, pregnant), then everyone else in the order they arrived in that line. A patient sent on joins the next line at the end.

How do I send a patient to one particular doctor's room?

In Send to… choose the department, then the room in Room / counter. Only that room can call them. Choose Any room to let the first free room call them.

What is the difference between Skip and No-show?

Skip puts the patient aside: when they come back, call them again or put them back in line. No-show means they are gone: the number leaves the queue.

It says "You still have 014 at Counter 1".

Finish your current patient first: send them on, complete, skip or mark no-show. Then press Call next.

Can I limit how many patients get a number each day?

Yes: Settings → Tickets → Daily limit. Tick it and enter the number, e.g. 100. The kiosk can show Numbers left today, and when the limit is reached it shows Fully booked for today with your message. Cancelled numbers give their place back. You can let the front desk still give numbers after the limit (for emergencies); these are noted in the Activity log.

Can I restart the numbers during the day?

Yes. Settings → Tickets → Start numbers again. You can also close the numbers still in the queue. Numbers restart at 001 every morning by themselves.

How do I change what the printed ticket shows?

Open Settings → Printing → Ticket layout. Untick a part to hide it (for example People ahead of you) and choose Small, Normal, Large or Extra large for each part (for example a smaller date and time). The preview beside it changes as you go; press Save ticket layout. Back to standard undoes it.

Can I put a letter before the numbers?

Yes: Settings → Tickets → Number prefix, e.g. A gives A-001.

TV display and kiosk

The TV shows the numbers but makes no sound.

Tap the screen once (browsers need one tap before they play sound) and check the speaker icon at the top right is not crossed out. The Windows one-click shortcut or start-up file plays sound without a tap.

The voice sounds robotic or is in the wrong language.

Use Microsoft Edge: it has the most natural voices. Choose the language in Settings → TV display & voice, or tap the microphone button on that TV to pick a voice for it.

How do I make the TV or kiosk an app with an icon?

Open Display & kiosk apps on that device and press Open & install as app, then Install (or Share → Add to Home Screen on iPhone / iPad). From then on one tap on the icon opens it full screen.

Can one TV show only the laboratory?

Yes. In Display & kiosk apps (or TV screens setup) choose the department under Shows the calls of.

The kiosk shows a print window instead of printing.

Use the one-click shortcut or the start-up file: they print silently to the default printer. Set the thermal printer as the default printer in Windows.

Are patient names shown on the TV?

Never. Names and notes typed at the counter are for staff only. The TV and kiosk show numbers only.

A TV says "This display link is no longer valid".

Someone pressed Make new links. Open or install the TV again with the new link from Display & kiosk apps.

The TV says "Reconnecting…".

The TV lost the connection to the server. It reconnects by itself. Check the network, and that Apache and MySQL are running in XAMPP.

Reports

What does "Average wait per line" mean?

The average time from joining a line (at the front desk or after being sent on) until being called there.

Why does a patient count in several departments?

Each department that saw the patient counts them once, because the same number visits several rooms.

Can I open the figures in Excel?

Yes: Export to Excel on the Reports page downloads an .xlsx workbook with the key figures, a sheet for each table and every ticket of the chosen dates.

Updates and backups

How do I send my changes to the online site?

System Updates → connect both sites with the same deploy key → Compare changes → Update the other site now. The online site makes a backup first.

A fix was made on the online site. How do I get it here?

On the local site press Get the other site's changes in System Updates. This site makes a backup first.

Will an update overwrite the online site's queue history or settings?

No. Updates send program files only. The database contents, config/config.php, uploads and backups are never touched; the database structure is upgraded in place.

An update went wrong. Can I undo it?

Yes. System Updates → Update history → Roll back returns the files and the database to the backup taken just before.

Still stuck? See Help or the System Manual.
